What’s new

API Integration + API Keys
You can now generate a secure, user-scoped API key from your RecordsKeeper.AI account and connect external systems directly to RecordsKeeper.AI. No more manual uploads or copy-paste. Just clean, continuous sync.

Why this matters

  • Connect anything, anywhere: Plug in your internal databases, data warehouses, CRMs, or storage apps.

  • AI where you work: Trigger insights, run queries, or use AI Search on your own data - right from your systems.

  • Always fresh: Real-time or scheduled sync keeps data consistent across tools.

  • Security-first: Each user gets a unique, encrypted API key with access you fully control.

What you can do now

  • Automate ingestion: Push or pull data between RecordsKeeper.AI and your source of truth (e.g., CRM, analytics DB, cloud storage).

  • Embed AI Search: Let teams query organizational knowledge from within internal dashboards, helpdesks, or apps.

  • Trigger insights: Kick off summaries, alerts, or insights when new data lands—no manual steps.

  • Unify knowledge: Create a single, searchable layer over scattered documents, tickets, and records.

Quick start (3 steps)

  1. Generate your API key
Open your RecordsKeeper.AI dashboard and navigate to API / API Keys. Click Generate to create a unique key.

  2. Store it securely
Save the key to your secrets manager or environment variables. Treat it like a password.

  3. Connect your tool
Use the API key in your integration or service to authenticate requests and begin syncing/searching your data.

Tip: Rotate keys periodically and revoke any key you no longer need.

Security & governance

  • Per-user keys: Keys are unique and encrypted. Revoke instantly if needed.

  • Least privilege: Scope access to the right data sources and teams.

  • Auditability: Keep an internal log of where keys are used for compliance.

Popular use cases

  • CRM sync: Keep customer notes and contracts searchable in RecordsKeeper.AI as reps update your CRM.

  • Data warehouse lens: Point RecordsKeeper.AI at curated datasets and let teams ask plain-language questions.

  • Support copilots: Surface past tickets, runbooks, and docs to agents directly inside your helpdesk.

  • Project knowledge hubs: Auto-ingest drive folders, meeting notes, and specs for instant, unified search.

FAQs

Who can generate API keys?
Users with the appropriate workspace permissions. Check your admin settings if you don’t see the option.

Will existing data change?
No. The API adds a new way to sync and query; your current projects and documents remain intact.

Can I limit access per key?
Yes - create, label, and revoke keys by user or integration to keep access tightly managed.

Do you offer rate limits and monitoring?
Yes - standard safeguards apply. Your admin can review usage and adjust as needed.

What’s next

  • More connectors: Streamlined plug-ins for popular CRMs, storage platforms, and data stacks.

  • Event hooks: Subscribe to changes and trigger workflows in your internal tools.

  • Fine-grained scopes: Even tighter per-key permissions for large teams.
